How to Find Reliable Suppliers in China: A Step-by-Step Guide
Finding a supplier in China is easy. Finding a reliable supplier is the hard part. Many companies will answer your message. Some are real factories, some are trading companies, and some are not real at all. This guide shows you how to find Chinese suppliers and manufacturers, how to contact them, and how to check them before you pay.
We work with Chinese suppliers from Beijing, so these are the steps we use ourselves.
Step 1. Write down exactly what you need
A supplier can only quote what you describe. Before you contact anyone, prepare this:
- The product name and clear photos or a drawing
- Material, size, colour and weight
- How many pieces you want, now and later
- The price you hope to pay
- The country it will ship to
- Any rules you must follow, such as labels or certificates
Step 2. Search in more than one place
Do not rely on one website. These are the main places to find suppliers in China:
- Alibaba and Made-in-China.com. The easiest start for foreign buyers. Read our guide on whether Made-in-China.com is legit.
- Google. Search the product name with the word manufacturer or factory. Many real factories have their own website.
- Chinese websites. The same product usually has a Chinese name. Searching in Chinese shows more factories and lower prices. If you do not read Chinese, you need a helper for this.
- Trade fairs. Events such as the Canton Fair in Guangzhou let you meet many factories in a few days.
- Other buyers. Someone who already imports your product can tell you who to trust.

Step 3. Make a shortlist of five
Do not stop at the first supplier. Pick five that look real and sell the exact product you need. Having five lets you compare prices, answers and attitude. It also stops one supplier from controlling the deal.
Step 4. How to contact suppliers in China
A clear first message gets a clear answer. Send the same message to all five, so you can compare. Include your product details from Step 1 and ask these questions:
- What is the price per piece at different amounts?
- What is the minimum order?
- How much and how long for a sample?
- How long does production take?
- What are the payment terms?
A good supplier answers your exact questions. A weak one sends a catalogue and says "tell me your best price". Many suppliers prefer WeChat or WhatsApp, which is fine, but keep prices and terms in writing.
Step 5. Check that the supplier is real
This is the step most buyers skip, and it is where most scams are stopped.
- Ask for the business licence. Every registered company in China has one. It shows the company name, address and an 18-character number called the Unified Social Credit Code.
- Look the company up. China has an official public website for company records, in Chinese. It shows the name, the registered address and whether the company is still active. If you cannot read Chinese, ask a helper to check.
- Match the names. The company name on the licence, on the contract and on the bank account must be the same.
- Ask for a live video call. Photos can be copied. Ask them to show the workshop, the machines and your product.
- Find out if they are a factory or a trader. A factory can talk in detail about materials, machines and production time. A trader sells many unrelated products. Traders are not bad, but you should know which one you are dealing with.
Step 6. Order a sample
Never place a big order before you have held the product. A sample shows the real quality, and it also shows how the supplier behaves when there is a small problem.
Red flags when finding suppliers in China
- The price is far lower than every other supplier.
- They ask you to pay into a personal bank account.
- They refuse a video call.
- They cannot show a business licence, or the names do not match.
- The photos look copied or appear on other shops.
- They push you to pay quickly.
Why choose FriendFirm
Many agents only forward links. We do the work properly:
- We have a warehouse in China. Your goods are handled by our own team, not left with a stranger.
- We do the quality inspection ourselves. We check the goods and the amounts, and send you photos and video.
- We are not just an Alibaba link. We find, check and negotiate with suppliers the proper way, not just copy a link from a website.
- For big orders, we come to the supplier. Wherever your supplier is in China, we go there. Travel costs plus our fee are quoted before we go.
- No commission from factories. We work for you only.
- A clear contract with the supplier. So you know who is responsible.
Common questions
Is it safe to find suppliers on Alibaba?
It can be, if you check each supplier. The website is real, but anyone can open a shop on it. Follow Steps 5 and 6 every time.
How do I know if a supplier is a factory or a trading company?
Ask about materials, machines and production time. A factory answers in detail and will show you the workshop on a live video call. A trader sells many different products and may not know the details.
How many suppliers should I contact?
Five is a good number. Fewer than three gives you nothing to compare, and more than ten takes too much time.
Can you find and check suppliers for me?
Yes. Tell us the product, the amount and where it ships to. We find the suppliers, check them, negotiate the price and inspect the goods. Message us on WhatsApp to start.
